Privacy Policy

RecapScribe (the "Software") does not send the transcripts or summaries it processes to the Provider. This policy covers the information the Software stores on your device, the limited information sent to the Provider, and the information sent to external services.
1. Information Stored Only on Your Device
The Software stores the following in files and a database on your PC. None of it is sent to the Provider or to any third party.
- Exported files: Transcripts and summaries exported from HiNotes, and the results of re-summarising. All of them are stored only in the output folder you choose.
- Processing ledger: Identifiers of processed notes, run timestamps, success or failure, and error details. Used to avoid processing the same note twice.
- Your settings: Output folder, HiNotes summary conditions (meeting type, language, model), wait interval, re-summary template, the OpenAI model to use, and the scheduled run time.
- Logs: Records of operation and errors, used only for troubleshooting.
- HiNotes session data: The HiNotes sign-in state held by the in-app browser (WebView2). It is stored on your device in the same way as in your regular browser.
Your OpenAI API key is stored only in the Windows Credential Manager. It is never written to the settings file, the database, or the logs.
2. Information Sent to External Services
(1) HiNotes
The Software accesses HiNotes using your own account to read the note list, run summaries, and export text. This is equivalent to performing the same actions yourself in a browser, and the Provider does not receive any of that content.
(2) OpenAI
When re-summarising, the transcript, the HiNotes summary, and the re-summary template you configured are sent to the OpenAI API. The request uses your own API key and does not pass through the Provider's servers. Handling of the data you send is governed by your agreement with OpenAI and by OpenAI's policies. If you handle highly confidential meetings, please review OpenAI's data usage policy in advance.
3. Information Sent to the Provider
The Software communicates with the Provider for two purposes only.
(1) Update check
To check whether a newer version exists, only the version number, platform, and architecture are sent. No transcript or summary content is included.
(2) Account authentication and entitlement check (Pro users)
For Pro sign-in and entitlement checks, only the following five items are sent.
- Email address
- Device identifier (a 16-character hash derived from hardware information; the original information cannot be recovered)
- Verification code
- Authentication token
- Purchase type (subscription / lifetime)
This communication does not occur unless you sign in. Checkout takes place on the payment provider's (Stripe, Inc.) page opened in your default browser, so credit card details never pass through the Software or the Provider.
4. Cookies and Telemetry
The Software does not use cookies for the Provider's purposes and performs no usage measurement (telemetry). Cookies held by the in-app browser are used solely to maintain your HiNotes sign-in state.
5. Disclosure to Third Parties
Other than entrusting processing to the payment provider (Stripe, Inc.) as described above, the Provider does not disclose collected information to third parties except as required by law.
6. Deleting Data
Files in the output folder can be deleted with ordinary file operations. The processing ledger, settings, and logs can be removed completely by uninstalling the app and deleting the data directory. Your OpenAI API key can be removed from the app's settings screen or from the Windows Credential Manager. 8. Changes to This Policy
This policy may be revised in response to changes in law or in the service. Material changes will be announced in the app or on the website.
