Finds the Unsummarised Notes for You
Opens HiNotes, reads the note list, and picks out only the notes that have not been summarised yet. Because a note may not appear immediately after transfer, it waits for the interval you set before checking. Up to three notes are processed per run, oldest first.
Runs the Summary Itself
For each note it found, it runs the HiNotes summary with the conditions you chose in advance: meeting type, language, and model. You do not need to watch the screen. It waits for the summary to finish and moves on to the next step on its own.
Exports and Files Automatically
Once the summary is ready it exports the text, detects the file that lands in your Downloads folder, and moves it into a folder for that note. Names carry the timestamp, the title, and the note ID, so nothing gets lost later.
Re-Summarised With Your Template
The exported transcript and the HiNotes summary are handed to OpenAI to be written up again. The template is yours to write — fixed headings, the level of detail you like, the tone you use. Every note comes out in the same house style.
Runs at the Hour You Choose
Registers a task with the Windows Task Scheduler and runs at the time you set. Walk away after a meeting and the summary is waiting the next time you open your PC. Results for each run are visible in the app.
Your API Key Stays in Credential Manager
The OpenAI API key is stored only in the Windows Credential Manager. It is never written to the settings file, the database, or the logs. Transcripts and summaries stay in the folder you chose.

How Far Does Free Go?
Detecting unsummarised notes, running the HiNotes summary, exporting and filing the text, and re-summarising with your OpenAI template are all available on the Free plan — the work itself is not cut down.
Free covers manual runs only, up to 10 notes per month. The allowance resets each calendar month.
Pro unlocks two things: scheduled runs, and the removal of the monthly limit.
Because re-summarising runs on your own OpenAI API key, there is no usage billing from us on any plan.
License Notes
- You need to supply your own OpenAI API key. Charges for re-summarising are billed to you by OpenAI under your own agreement with them.
- The Pro plan requires signing in with your email address. Enter the six-digit code that arrives by email; there is no password to set.
- One account can use Pro on one device at a time. Signing in on another device activates that device instead. Sign in again on the original device to switch back.
- Your entitlement is checked periodically. For 14 days after the last successful check you can keep using Pro even without a connection.
- Dropping back to Free never deletes or hides files that have already been exported.
- Cancellation and payment method changes are handled in the payment provider's customer portal, which opens from the settings screen.

Work Through the Setup Wizard
The wizard opens on first launch. Sign in to HiNotes, confirm that automatic transfer is enabled, choose an output folder, enter your OpenAI API key, set the HiNotes summary conditions and the wait interval, and pick a schedule.
Write Your Re-Summary Template
Register the minutes format you already use as a template. Variables let you inject the transcript, the HiNotes summary, and the note title, so "these headings, at this level of detail" is reproduced every single time.
Try a Manual Run
The pre-run preview tells you how many notes are about to be processed. Progress is shown live and you can stop mid-run. Finished files open straight from the output folder.
Hand It Over to the Schedule
Turn the schedule on and it runs at your chosen time from then on. All that is left is to record. The recent results card lets you review which notes succeeded and which failed.

No. RecapScribe is an unofficial utility built independently by VIT Works. We have no capital relationship, partnership, sponsorship, or endorsement from the provider of HiNotes. If the HiNotes screens or specifications change, RecapScribe may stop working without notice. See the disclaimer and trademark notice for details.
Three things: Windows 11 (64-bit), a HiNotes account, and an OpenAI API key. Your HiDock also needs to be set to transfer recordings to HiNotes automatically — the wizard helps you confirm this.

No. Exported transcripts and summaries are stored only in the folder you chose. The only outbound communication is with HiNotes, with OpenAI for re-summarising, the update check, and — if you use Pro — sign-in, entitlement checks, and checkout.
Scheduled runs go through the Windows Task Scheduler, so the PC must be powered on and signed in. Runs do not happen while the machine is locked or signed out. If a run is missed, simply run it manually the next time you are at the PC.
The processing is identical. Free is manual runs only, up to 10 notes per calendar month. Pro adds scheduled runs and removes the monthly limit. Re-running the same note does not count against the allowance twice.
